What You’ll Do
As our Business Operations Manager, you will support the day-to-day execution of Aepnus’ operations, ensuring our systems, processes, and programs run smoothly and reliably.
This is a hands-on, detail-oriented role focused on execution, coordination, and continuous improvement. You will partner closely with the Head of People & Operations to optimize and scale the operational infrastructure that keeps the company running effectively while preserving the team culture that makes us unique.
Key Responsibilities
Systems & Process Management
- Ensure data accuracy and consistency across systems (e.g. Google Workspace, Rippling)
- Support implementation of new tools and process improvements
- Help automate repetitive administrative workflows where possible
Finance & Administrative Operations
- Support expense tracking, invoice processing, and vendor payments
- Assist with purchase orders, reimbursements, and internal budget tracking
- Maintain vendor records including NDAs and support contract or service agreement coordination
- Help prepare basic operational and financial reports at month-end and year-end
People Operations
- Coordinate recruiting processes including job postings, interview scheduling, and candidate communications
- Support onboarding and offboarding including systems access, equipment, and logistics
- Serve as a point of contact for employee questions on policies and processes
Office & Workplace Operations
- Support day-to-day office operations, supplies, and facilities coordination
- Assist with planning team events, offsites, and internal meetings
- Ensure a smooth and organized workplace experience, so supplies and snacks are always available
- Coordinate logistics for visitors, candidates, and new hires
Compliance & Documentation
- Maintain compliance records including business registration, labor postings, and other documentation or licensing requirements
- Support audits, filings, and regulatory requirements as needed
- Ensure policies and documentation are up to date and properly communicated
Qualifications
- 3-5 years of experience in operations, HR coordination, office management, or similar roles
- Strong organizational and project coordination skills
- High attention to detail and accuracy
- Ability to manage multiple priorities and follow through on tasks
- Strong written and verbal communication skills
- Familiarity with finance and people operations processes for an early-stage start up
- Experience in a scaling company, ultimately comfortable working in a fast-paced, evolving environment
Compensation & Benefits
- $70,000 - $100,000 salary range, plus equity, commensurate with experience
- Aepnus pays 100% of medical, dental, and vision insurance for employees, 50% for dependents
- 401(k) plan and additional retirement benefits
- Flexible paid time off for wellness, vacation, and rest, plus 10 paid holidays per year
- Two weeks off in late December for our annual Winter Break
- 80 / 20 in office work environment, with up to one full remote day weekly
- Monthly team builds and an annual offsite retreat
